Work Schedule & Calendar

The Work Schedule and Work Calendar views provide dispatchers and operations managers with visual tools to balance crew workloads, manage recurring route routes, and dispatch jobs.

The Schedule Board

Access the dispatch board under Operations → Work Schedule:

• Date Selector: Switch between daily, weekly, or custom range views.
• Crew Columns / Swimlanes: View scheduled jobs grouped by crew or vehicle route.
• Unassigned Tray: Drawer containing unscheduled jobs ready for dispatch.
• Drag-and-Drop Dispatch: Move jobs between crews or reschedule dates intuitively.

Scheduling Recurring Services

For regular maintenance contracts (e.g., weekly commercial mowing):

1. In the Work Order, set the recurrence interval (e.g., Weekly on Mondays).
2. PrairieHQ automatically generates scheduled visits across the active season.
3. The dispatch board surfaces any scheduling conflicts, holidays, or rain days.

Route Optimization & Geolocation

• Each job pin reflects property coordinates.
• Dispatchers can review route order to minimize travel distance and reduce non-billable driving time between properties.
• Estimated run time plus drive time gives managers an accurate daily workload projection.

Handling Reschedules & Weather Delays

When adverse weather (heavy rain, high heat, snowstorm) impacts operations:

1. Select the affected date on the schedule board.
2. Use Bulk Reschedule to push an entire crew's route or specific route segment forward by 1 or more days.
3. Automated notifications can optionally alert customer contacts regarding schedule adjustments.
